This Privacy Policy describes how the Wedgeworth Elementary PTO member portal ("the App") collects, uses, and protects information. The App is intended for use by parents/guardians of Wedgeworth Elementary students and PTO board members — it is not intended for use by children.

From you (the account holder):

• Name, phone number, and email address
• Mailing address, if provided as part of your membership purchase

About your children:

• First and last name, and grade level. This information is provided by you, the parent or guardian, as part of registering your family for a PTO membership — children do not create accounts or use the App directly.

Membership and event records:

• Purchase confirmation details from our payment partner, Zeffy — such as a ticket or receipt number and payment date. We do not receive or store your credit card number; payment processing is handled entirely by Zeffy.

Usage data:

• Messages sent and received within the App, and membership badges earned

If you use our iOS or Android app:

• A device push-notification token, so we can deliver notifications about new messages. This is not used on the website version of the App.
• Camera access for PTO board members, for two purposes: scanning membership or event QR codes at check-in (no photo or video is captured or stored for this), and photographing a hand-filled paper form (such as a membership or order form) so its handwritten information can be read and entered into our records. A photographed form is sent to our AI service provider for one-time processing, as described below, and is not stored by us afterward.
• Photo library access, only if a board member chooses an existing photo instead of taking a new one when photographing a paper form.

• To verify your membership and provide access to the member portal
• To display your digital membership card and badges
• To send and deliver messages and notifications from the PTO board
• To check in members and guests at PTO events
• To maintain accurate membership records

Members can see their own profile, students, and messages. PTO board members (administrators) can see membership records for all families in order to manage the roster, respond to messages, and run events — the same information a PTO board would traditionally keep in a membership binder or spreadsheet.

• Firebase (Google) — authentication, database, and push notification delivery
• Zeffy — payment processing for membership dues and event tickets
• Vercel — application hosting
• Anthropic — reads and extracts information from a paper form photographed by a PTO board member, so it can be entered into our records. Anthropic does not use this photo to train its AI models. We do not store the photo ourselves after it has been processed.

These providers process data on our behalf and do not use it for their own purposes.

The App is designed for use by adults. Children do not create their own accounts, log in, or interact with the App directly — the limited information we hold about children (name and grade level) is provided by a parent or guardian solely to maintain accurate membership and event records.

We retain membership records for as long as needed to operate the PTO and maintain historical records. If you would like your family's information corrected or removed, contact us using the information below and we will address your request.

Access to membership data is restricted to PTO board members through our application's security rules. We take reasonable measures to protect your information, but no system can be guaranteed 100% secure.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date.
